Inside the workbook

What's inside the FinancialAha Essentials Project Budget spreadsheet template

The FinancialAha Essentials Project Budget Spreadsheet Template runs on two working sheets, with the instructions on a tab of their own. It works in both Microsoft Excel and Google Sheets and here is what the Essentials Project Budget spreadsheet holds.

  1. 01 of 02

    Budget Detail

Five sections - labour, materials, travel, software and other - each with its own lines, its own subtotal, and room left over for lines you add. The project total is the five subtotals added, not a separate sum, so it cannot drift from them. Each line carries a budgeted figure, an actual one, the variance between them and the share of the budget used. That last column is the one that earns its place on a project. A line at ninety percent used in month two is a problem; the same line at ninety percent in the final week is a line that worked. The variance in money alone does not say which you are looking at. The blank rows return blank rather than zero, so a section you have not filled in does not read as a section that came in at nothing. Sections are how a project budget stays readable once it is long. One long list is a list; five shorter ones are a budget you can discuss one section at a time.

  2. 02 of 02

    Dashboard

Six figures: the budget total, the actual total, the variance, the share of the budget spent, how many line items have gone over their budget, and which category the actual spend leans on most heavily - all read from the detail sheet, with two charts: budget against actual by category, and where the spending has gone. The count of line items over budget is the one to read beside the variance. A project comfortably under overall can still have half its lines overrunning, and the total on its own hides that. The top-category figure re-ranks itself as the actuals move, so if travel overtakes labour partway through the project, the label follows it. The by-category chart is worth reading alongside it - a project on budget overall with one category at double and another at half is not on budget; it is two mistakes cancelling.

  3. Included guide

    How to Use

A step-by-step guide on its own tab, covering how the sections and subtotals fit together, what the per-cent-used column means, and how to change the currency. Because it ships inside the file, the instructions travel with the template wherever it is opened.

What the Essentials Project Budget spreadsheet template tracks

Every section uses the same five columns. This is what each line records:

Line Item
the cost, named the way the project plan names it
Budgeted ($)
what was allowed for it
Actual ($)
what has been spent against it so far
Variance ($) auto
derived, and blank on a line you have not filled in
% Used
the actual against the budget for that line

Good to know

Notes on working in the Essentials Project Budget spreadsheet template

  • The per-cent-used column is what tells a line at ninety percent in month two from the same line in the final week.
  • The project total is the five subtotals added, so it cannot drift from them.
  • Blank rows return blank rather than zero, so an empty section does not read as one that cost nothing.
  • Five short lists are easier to discuss than one long one, which is what the sections are for.
  • A project on budget overall with one category double and another half is two mistakes cancelling.
  • The currency dropdown on the dashboard relabels the money columns across both sheets. It changes the label only and does not convert the numbers.
  • Top category re-ranks itself as the actuals change - it is a genuine maximum across all five section totals, not fixed to any one section.

Frequently Asked Questions

Is the FinancialAha Essentials Project Budget Spreadsheet Template a Google Sheets template?

Yes. Upload the file to Drive and choose "Open with Google Sheets". The Essentials Project Budget Google Sheets template needs no conversion step and both charts come across intact.

Is the FinancialAha Essentials Project Budget Spreadsheet Template an Excel template?

Yes. The download is a plain .xlsx, so the Essentials Project Budget Excel template opens directly in Excel with no import step, and both charts are native Excel charts.

Will the FinancialAha Essentials Project Budget spreadsheet Excel file open in older versions of Excel?

Yes. The Essentials Project Budget spreadsheet Excel workbook ships as a plain .xlsx, so it opens identically in current Excel and in builds that predate dynamic arrays.

What does the % Used column tell me in the Essentials Project Budget spreadsheet?

How much of a line's budget has gone. A line at ninety percent used in month two is a problem and the same line at ninety percent in the final week is a line that worked - the money variance alone does not say which.

Why is the Essentials Project Budget spreadsheet split into sections?

Because one long list is a list, and five shorter lists are a budget you can discuss one section at a time. Each section carries its own subtotal.

Can the project total drift from the sections in the Essentials Project Budget spreadsheet?

No. It adds the five subtotals rather than summing the lines again, so the two cannot disagree.

What happens to rows I leave empty in the Essentials Project Budget spreadsheet?

The variance and per-cent-used columns stay blank rather than reading zero, so an unfilled section does not look like one that cost nothing.

Can I add cost lines to the Essentials Project Budget spreadsheet?

Every section has its own lines and its own subtotal, and you can right-click inside one and choose Insert when you need another - the section subtotal expands to include it. The Free build is one list with no grouping.

How do I open the Essentials Project Budget spreadsheet template in Google Sheets?

Upload the .xlsx file to Google Drive, then open it with Google Sheets. All formulas and formatting will be preserved.
