AR and AP Tracker Spreadsheet
Everything in This AR/AP Spreadsheet
Cash Position at a Glance
Open the dashboard and see your cash story. Total AR, total AP, net position, and overdue AR sit on the first row of KPIs; open AR count, open AP count, and overdue AP follow. A status banner flags whether the net position is positive or upside down.
- 7 KPI cards covering AR, AP, net, and overdue
- Net cash position banner (AR minus AP)
- AR by Age and AP by Age column charts
Every Invoice Customers Owe You
Log each invoice as one row: invoice number, customer, issue date, due date, amount, and amount paid. Balance, days overdue, and status (Paid, Partial, Open, Overdue) compute from the As-of date. Subtotals at the bottom show total invoiced, total paid, and outstanding.
- Invoice number, customer, issue, due, amount, paid
- Auto balance, days overdue, and status
- Subtotals for invoiced, paid, and outstanding
Every Bill You Owe a Vendor
Same structure as the Receivables ledger, but for bills you owe. Bill number, vendor, issue, due, amount, paid - with auto balance, days overdue, and status. Knowing what is open and what is overdue on the AP side is half the cashflow conversation.
- Mirror layout of the Receivables sheet
- Per-bill balance, days overdue, and status
- Subtotals for billed, paid, and outstanding
AR and AP Aging in One View
Customers and vendors are grouped onto five aging buckets - Current, 1-30, 31-60, 61-90, and 90+ days past due. AR and AP have their own sections with subtotals, and each row totals to outstanding by party. Buckets refresh whenever you change the As-of date.
- Five buckets per side: Current / 1-30 / 31-60 / 61-90 / 90+
- Per-party rows with row totals
- Subtotals at the bottom of each section
Customer and Vendor Directory
A simple two-section directory: customers (name, contact, email, payment terms) and vendors with the same fields. Names on the contacts sheet must match the names on Receivables and Payables - that is how aging knows whose row to update.
- Customers and vendors in one place
- Contact name, email, and payment terms
- Names sync with the AR/AP ledgers
See Aging Without Squinting
Two column charts on the dashboard turn the aging report into a glance. AR by Age shows outstanding receivables across the five buckets; AP by Age does the same for payables. Both rebuild as soon as you log a payment or move the As-of date.
- AR by Age column chart
- AP by Age column chart
- Charts update with the As-of date
One Date Controls the Whole Workbook
Business name, currency symbol, and an As-of date. The As-of date is the anchor for days overdue, status, and aging on both ledgers. Change it once and the entire workbook recalculates - useful when you want to roll the report forward to the end of a week or month.
- Business name and currency symbol
- As-of date drives aging and overdue
- Set once and every sheet recalculates
Recording Your First Invoices
On Settings, enter your business name, currency, and the As-of date. On Contacts, list customers and vendors. Then log each invoice on Receivables and each bill on Payables. Aging, the dashboard, and the charts populate themselves.
- Settings, then Contacts, then ledgers
- Aging and dashboard build automatically
- Roll the As-of date to refresh the report
Customizable & Flexible
Adapt the template to your business. Add customers and vendors, log new invoices and bills, or roll the As-of date to a new week or month - every report follows. Works identically in Excel and Google Sheets.
- Add customers, vendors, and entries freely
- Roll the As-of date to update aging
