Everything in This Bookkeeping Spreadsheet
Your Books at a Glance
Open the dashboard and see where the books stand. Total income, total expenses, net profit, and cash on hand sit alongside transaction count, profit margin, and the largest cost account. A status banner flags whether you finished the year in profit or in a loss.
- 7 KPI cards covering income, expenses, profit, and cash
- Status banner with net profit and cash on hand
- Income vs expenses chart plus expenses by category
One Ledger, Every Entry
Record each income or expense as a single row. Date, month, description, category, type, amount, and method - that is the whole input. Totals update at the bottom of the ledger as you type, and every other sheet reads from this one.
- Eight-column ledger with date, category, type, and method
- Month column (1-12) drives the monthly report
- Totals row with income / expense count and net
A Chart of Accounts You Can Rename
The Categories sheet is your chart of accounts. Income and expense accounts are listed with the running total summed live from the ledger. Rename, reorder, or add accounts - every report follows the names you set here.
- Income and expense accounts in one list
- Per-account totals summed from the ledger
- Rename or add rows to match your business
Profit & Loss From the Ledger
A clean income and expense statement built directly from the ledger. Every account is listed with its amount and its share of income. Total income, total expenses, and net profit sit on bold rows, with profit margin as a percentage of income.
- Income and expense sections with subtotals
- Percent of income on every line
- Net profit and profit margin on bold rows
Month-by-Month Trend
Twelve rows - one per month - showing income, expenses, net, and running cash. Running cash starts at the opening balance from Settings and adds each month's net, so you can see exactly when cash got tight and when it recovered.
- Income, expenses, and net per month
- Running cash starting from the opening balance
- Year totals on the bottom row
See Where the Money Went
Two charts on the dashboard tell the story: income vs expenses by month for the cash picture, and a column chart of expenses by category to spot the largest costs at a glance. Both update live from the ledger - no chart maintenance needed.
- Income vs Expenses column chart by month
- Expenses by Category breakdown
- Charts rebuild as you log transactions
Set It Up Once
Business name, currency symbol, fiscal year, and opening cash balance. Cash on hand equals opening balance plus total income minus total expenses recorded in the ledger - so this one number sets the running cash line on Monthly and the cash KPI on the dashboard.
- Business name, currency, fiscal year
- Opening cash balance drives running cash
- Workbook reads from these values
Recording Your First Month
On Settings, enter your business name, currency, fiscal year, and opening cash. On Categories, set up your accounts. Then log every transaction on the Transactions sheet - date, month, description, category, type, amount, method. The Dashboard, P&L Summary, and Monthly report build themselves.
- Settings, then Categories, then Transactions
- Reports build from the ledger automatically
- Quick monthly entry routine
Customizable & Flexible
Adapt the template to your business. Rename accounts on the Categories sheet, add new categories, or switch the currency symbol - every report follows. Works identically in Excel and Google Sheets.
- Rename or add accounts to fit your business
- One ledger powers every report
- Excel and Google Sheets compatible
